Use PDF when the layout matters

Smart Printer App can attempt to convert Office files, but complex formatting is best handled by the app that understands the original document. Exporting a PDF from the source app gives you a chance to settle page size, breaks and layout before importing it.

This matters especially for spreadsheets. A wide sheet needs a deliberate print area and scale; shrinking the whole thing until it fits can make the numbers unreadable. Slides also need a choice between full-page slides and handout layouts.

A practical route

  1. Open the document in the app you normally use to edit it.
  2. Review its page layout or print preview. For a sheet, check the selected area and page breaks.
  3. Use that app’s PDF export or PDF sharing option. The exact label depends on the app and version.
  4. Save the PDF somewhere accessible through Files.
  5. Open Documents in Smart Printer App and select the PDF.
  6. Check the preview and printer paper settings before printing.

A file being selectable in the picker does not guarantee that every feature of its original format can be reproduced.

Check these details before wasting paper

Count the pages. Look for blank pages, clipped right-hand columns, missing images and substituted fonts. A long spreadsheet may be more useful across several readable pages than on one tiny page.

PDF reduces layout surprises, but the printer can still scale it to the selected paper. Match the intended paper size and inspect the available print options. Do not assume that A4 and Letter produce identical margins.

Files from a cloud drive

Documents available through an enabled Files provider can be selected through the iPhone’s document picker. That is different from Smart Printer App signing in directly to your cloud account. If a file is unavailable, open the provider and make sure it can be downloaded first.

For a document you need tomorrow morning, prepare and preview the PDF tonight. It is easier to fix the source layout while you still have time to edit it.
